Job Summary
We are seeking a proactive Marketing & Executive Support Coordinator (FT/PT) who will blend marketing initiatives with light administrative support for an executive and the broader team. In this role, you’ll develop and monitor marketing campaigns, coordinate meetings for new and existing clients, and ensure seamless communication across the organization. This position is ideal for someone who thrives on variety, excels in project coordination, and enjoys working cross-functionally.
Key Responsibilities
- Marketing Campaigns: Support the planning and execution of multi-channel marketing initiatives, tracking KPIs and managing deliverables.
- Content Creation: Write and edit content for blogs, social media, newsletters, and press releases; coordinate with contractors or agencies on design and production.
- Market Analysis: Research industry trends and competitors; provide insights to guide marketing and business development strategies.
- Event Coordination: Contribute to organizing and managing company events, webinars, and workshops, handling communication and logistics.
- Meeting Coordination: Schedule and prepare materials for new client and team meetings; ensure seamless communication with internal and external stakeholders.
- Correspondence Assistance: Respond to client inquiries and help with drafting professional email communications.
- Documentation & Reporting: Manage meeting notes, maintain project documentation, and compile reports for leadership and team members.
- Project Coordination: Track tasks and deadlines on smaller projects; provide updates to the executive and relevant team members, highlighting any roadblocks.
- Ad-Hoc Executive Support: Perform selective administrative duties, such as assisting with expense reporting or minor travel bookings, leaving room for a dedicated Executive Assistant hire in the future.
Qualifications
- Education: Bachelor’s degree in Marketing, Communications, Business Administration, or related field (or equivalent experience).
- Experience: 2+ years in a marketing, project coordination, or administrative support role—or a blend of the three.
- Tech Skills: Familiar with Microsoft Office or Google Workspace; comfortable using marketing tools (e.g., Mailchimp, HubSpot), social media dashboards, and basic project management software (e.g., Trello, Asana).
- Soft Skills: Excellent written and verbal communication; strong organizational abilities; ability to juggle multiple projects and deadlines.
- Additional: Experience managing external client communications and basic scheduling is beneficial; willingness to learn and adapt is key.
